How do I know the applicable rate of the apartment of my choice?

The rates stated on the website are only indicatives. The rates can vary depending on the period of the year and the amount of requested nights. To know the exact rate of your preferred apartment during your travel dates, you can fill in the contact form/ one of the specific booking request forms or send us an e-mail to This email address is being protected from spambots. You need JavaScript enabled to view it.. We will reply to you, mentioning the applicable rate, within approximately 48 hours.

How does the booking process work?

When you find an apartment you wish to reserve, you can contact us by sending an e-mail to This email address is being protected from spambots. You need JavaScript enabled to view it., completing the contact form or by filling in one of the specific booking requests for our apartments on the website. We will then get back to you within 48 hours and send you all the relevant info you need (availability, rental amount, further procedures). When the apartment you requested is not available for your travel dates, we will try and offer you some comparable alternative options.

Please be aware that most of our apartments can only be booked for a minimum of 4 to 7 nights. During holidays such as Carnival and New Year’s or events such as the World Cup 2014 or the Olympics in 2016 most apartments require a minimum booking of 7 to 10 nights.

When the apartment of your choice is available we will ask you to send us some personal information (names and passport numbers or Brazilian ID’s of all occupants, address, e-mail address and phone number) so that we can prepare the rental contract and forward it to you along with a down payment request.

When can I be sure that the apartment is reserved for me?

After sending us your personal details, we will pre-reserve the apartment for you for a couple of days. In the meanwhile, we will prepare the rental contract and send it to you through email. After we received the requested down payment, your reservation is confirmed. We will send you a confirmation e-mail once all conditions are met.

What paying method can I use to book an apartment?

In general, you will be required to pay a down payment of 30% or 50% of the total rental amount to confirm your booking. The down payment can be made via PayPal. For countries within Europe or Brazil a wire transfer can also be made directly into our Belgian or Brazilian bank account in the currency of Euro or Brazilian Real. The down payment cannot be made by check or credit card. 

The balance of the Rental Amount shall be paid in cash at check in and can either be paid in local currency or in USD/EUR/GBP at the applicable exchange rate of the day of the check in. Travelers’ checks and credit cards are not accepted.

Please note that for reservations during Christmas, NY and carnival, the entire rental Amount should be paid upfront in order to guarantee the reservation.

What is included in the rental amount?

The rental amount includes the use of sheets and towels, as well as the consumption of water, taxes, cable or digital TV and a high-speed Internet connection. The Rental Amount does not include the check-out cleaning costs. These costs fluctuate between 100 BRL and 250 BRL, depending on the size of the apartment and the number of tenants. In case of short-term rental periods, a limited consumption of gas and electricity is included in the rental amount. Depending on the size of the apartment and the number of tenants, the volume of Kwh will vary from 10 to 40 Kwh units per day. Electricity consumption exceeding this amount shall be charged separately, at a rate of 0.5 BRL/KwH.

In case of long-term rental periods, the Rental Amount does not include gas and electricity use, which shall be charged separately according to the apartment’s gas bill and the balance of the apartment’s electricity meter. 

Can I cancel my reservation?

If you should decide to cancel your reservations, the amounts you paid cannot be reimbursed under any circumstances. Any down payment made will stay with the Owner of the apartment. However, in practice and depending on the availability, we can use your down payment for a stay in the apartment you booked for another period.

Will I need to pay a damage deposit for the apartment?

In addition to the rental amount, you will be asked to pay a fully refundable security deposit with the 

the Owner’s representative of the apartment to cover for any possible damage of furniture and fittings, loss of items or excessive cleaning or laundry costs. The amount of the security deposit depends on the size of the apartment and the number of tenants and may vary between 200 and 750 USD. The deposit is fully refundable and will be returned at check out, provided that the apartment is left in a good state. The security deposit may be paid in advanced via PayPal upfront (and will consequently be returned via PayPal without any extra fees) or can be paid in cash at check in.

For the security deposit credit cards are only exceptionally accepted, depending on the owner of the apartment. In this case, the credit card will serve as an authorization charge. The blocked amount on the credit card will be released at check-out provided that the apartment is left in a good state.

What happens if I break something?

Please call Rio Bay Housing as soon as possible to assess the damage. We will do our best to try and fix or replace the item/s and reach a decision if whether there is any charge incurred.

When is check in or check out?

Normal check in time is 14:00 PM and normal check out time is 10:30 AM. You will be met at the apartment upon arrival by a Rio Bay Housing member of staff who will hand over the keys and also show you around the apartment. If no one rents the apartment on the day you are leaving we do not charge for a late check out on that day. If you want to secure a late check out, you can do so by paying an additional fee of half a day rent.

Can I store my luggage before normal check in time or after normal check out time?

In most of the apartment complexes is no place where you can leave your luggage before check in or after the check out. As the doormen downstairs in the buildings don’t accept responsability for your luggage we highly recommend you to book an early check in or late check out for the apartment. 

Will I need an adaptor for using the appliances in the apartment?

For some appliances supplied in the apartments you will need continental adaptors. In most of the apartments the continental adaptors are not supplied so we highly recommend you to bring your own adaptors on your travel. 

Can I drink the tap water?

The tap water in Rio de Janeiro is not safe to drink as you can get sick. It is ok to brush your teeth with, but you may know what your traveling limits are with other water sources and so are the best judge.  We recommend to purchase bottled water in the supermarket or use the water filter if available in the apartment.

Are the apartments equipped with a safe and do the apartments have 24-hour doorman service? 

Most of pur apartments are not equipped with safes. However, all our apartments are situated in buildings with 24-hour doorman service and most of them have intercom service so that visitors can call up and be granted or denied access by the tenant.
